Exams & Milestones
Please plan to formally schedule any exams at least 2 weeks in advance!
The information below details how to schedule exams with The Graduate School and The ECE Graduate Office.
Important Reminders:
- Adhering to these deadlines is crucial for a smooth scheduling process.
- Please ensure your committee members are available on your proposed exam/review date before submitting your request. You are responsible for reserving a conference room.
- You must be enrolled in the semester you take your final exam in.
- If you are taking the Prelim exam, you do not need to be enrolled in the Summer session (only).
- If you have any questions or require further clarification, please do not hesitate to contact the ECE Graduate Office Staff at ecegradoffice@ncsu.edu (include 9-digit ID#)
1. Verification
- Committee Approval: An approved committee in MyPack Portal
- Degree Audit: A completed degree audit
- Apply to gradate: This only applies if you are scheduling your final oral exam.
2. Coordination
- Set the Date: Reach out to your approved committee members to coordinate a date and time that works for everyone.
- Room/Link Setup: Ensure you have secured a physical room or a virtual meeting link for the exam.
3. Final Confirmation and Paperwork
- Exam Forms: All exam forms must be emailed to the ECE Graduate office at least 2 weeks in advance. NO EXCEPTIONS!
Once your exam date has been officially set and the paperwork is processed, the Graduate School will automatically email a link/confirmation to your committee members.

- Outside Representation: At least one (1) member must be from outside the department.

Students who enter the PhD program with a previous MS degree must take the Qualifying Review no later than the third semester of PhD enrollment. Students who enter the PhD program without a previous MS degree may delay the Qualifying Review to the fourth semester of PhD enrollment. This must be approved by the student’s Qualifying Review Committee.
Please make sure to enroll in ECE 834.
For students scheduling their Qualifying Review, please send an email to the ECE Graduate Office Staff at ecegradoffice@ncsu.edu at least 5 days before the exam with the following details.
· Student’s Name
· 9-digit student ID number
· Date of the Exam
· Name of Committee Chair/Committee Members and email addresses
Purpose of Exam
Our Qualifying Review Exam is typically only given to PhD students and is used to:
- Measure the student’s breadth of knowledge by his/her performance in at least three graduate level courses that are outside the student’s specialty.
- Determine the in-depth knowledge
- Determine the suitability of the student to perform competent research.
This exam does not have to be scheduled formally through the Graduate School (like the Preliminary and Final Doctoral exams do). Your Graduate Advisory Committee decides the exact nature of the Qualifying Review. The Qualifying Review may take many forms; however, it must have both oral and written components. Please discuss this with your PhD advisor to begin preparing for the exam.

When the items above are completed, a “Schedule Exam” button will appear on your committee page in MyPack

You are required to fill out a Committee Modification Form and have it sent to the ECE Graduate Office.
The Graduate School will not accept or process your paperwork until every member of your committee has formally accepted their role.
No. To be eligible for graduation in a specific term, you must meet all posted deadlines, including the defense deadline. If the deadline has passed, you are no longer eligible to graduate for that term and must coordinate for the following semester.
You have a choice of two review deadlines to pick from: 1. Registration Required or 2. No Registration Required
For summer defenses, you typically only need to enroll in one credit
No. There are no exceptions to the scheduling policy. It is clearly posted in multiple locations that you must schedule your exam and have it formally approved by the Graduate School before the exam takes place.
