Unpaid Appointments

This page is only for unpaid appointment requests for the Department of Electrical and Computer Engineering, ASSIST Center, FREEDM Center, and CLAWS Hub at NC State University.

We recommend reviewing all of the information below prior to submitting a request for an unpaid appointment.

The hosting unit HR representative will review your request and assign the appropriate appointment type based on your response. All visitors/guests will be required to complete a background check.

Hire Dates

Requests for hire date less than 6 weeks from when the form is submitted will not be considered. Please note that the processing timeline is subject to change as each unpaid appointment request is evaluated on a case-by-case basis. Please plan accordingly.

The maximum length of most unpaid appointments is up to 3 years. Requests for appointments less than 2 months will not be considered for an unpaid appointment. 

Resume/CV

Please be prepared to include a copy of the visitor’s CV/resume in your request.

Form Completion

Please complete the form with accurate and detailed information. Incomplete forms or forms with insufficient information will add to the processing timeline. Requests that are submitted with complete and accurate information will be given priority.

J-1 Sponsorship

The Office of International Services (OIS) has recently updated the requirements for J-1 Sponsorship. You and the visitor will be notified once we initiate the J-1 sponsorship request with email prompts from OIS’ system, GlobalHome. Please review the following information prior to submitting an unpaid appointment request.

  • ECE Template for Invitation Letter – This link will generate a copy of the invitation letter as required for J-1 sponsorship. Please go ahead and create a letter to give to the visitor to include in your request. For further guidance when creating an invitation letter, please refer to this guidance on required content for the invitation letter: J-1 Invitation Letter Guidelines (Office of International Services).

If you are interested in hosting a student who is a student from a university/institution outside of the U.S. and the student does not have a bachelor’s degree, please review the information regarding hosting a J-1 Student Intern.

Data Security Training

Individuals who are issued an unpaid appointment at the university will be required to complete the Office of Information Technology’s Data Security Training. Training not completed in the outlined timeframe communicated by OIT will result in immediate termination of the appointment. 

Wolfpack One Card (On-Campus Only)

Unpaid appointments that necessitate building access or involve the use of resources, such as borrowing library materials or utilizing gym facilities, will require the supervisor to submit a request with the Wolfpack One Card Office. Please be advised that there is a fee associated with this card that can be paid by either the hosting supervisor or visitor/guest.

Limited Software Access

An unpaid appointment will facilitate the creation or extension of a campus UnityID; however, users should be aware of certain limitations. Notably, some software licenses on campus may not extend to these positions. Specifically, the campus Microsoft Office/365 license does not cover unpaid employees.

Alumni Email Accounts

If you have a recently graduated student who only needs email and no other services (i.e. Drive, Calendar, etc.) please refer the former student to review OIT’s website for alumni email account setup and alumni email service FAQs

Continued Access – Research Publications

If you have a recently graduate student who needs continued access in order to complete research related publications as certain graduates who have been involved in research need a longer period of access than graduates automatically receive, please refer to the outlined process noted in Request Process for Continued Access for Graduates (Office of Research and Innovation).
