Eligibility Requirements
Students must be in good academic standing and be currently enrolled for us to process this hire request in the Student Worker (TSW910) or Work Study (TSW912) category. Students can hold multiple positions on campus, as long as their cumulative hours per week do not exceed 20 hours per week.
Appointment Dates & I-9 Form
Requests must be submitted no later than 3 days before the requested start date. This will allow time for student workers to gather the necessary documentation needed to complete their I-9 Form at the university’s I-9 Center. The I-9 Form requirement is a federal requirement for employment in the United States. Students that do not complete their I-9 Form on time, will be subject to immediate termination of their employment.
Retroactive hire dates or hire dates that are submitted less than 3 days before the requested hire will be subject to change to a different hire date by ECE HR.

WolfTime Timekeeping & Supervisor Responsibilities
Student Workers (this includes Work Study and PEP students) are required to clock in and out all time worked. Students are responsible for communicating with their supervisor for any missed punches, absences, or other timesheet deviations promptly.
Supervisors are responsible for monitoring, correcting, and approving student hire timesheets by the supervisor lockout deadlines outlined in the biweekly payroll schedule: Biweekly Payroll Scheduled 2024-2025 (See “Supervisor Lockout Deadline @ 5pm column”).
Time that is not corrected or approved by the outlined supervisor deadline will cause errors in the student’s pay and/or missed paycheck(s).
Students rely on this pay for many of their daily essential needs from paying rent, to purchasing groceries, and school supplies. Please keep this in mind when you hire a student worker.
JAR Processing View for Managers
Supervisors can view JAR (Job Action Request) actions in process for their student hire requests through Manager Self-Service and see the “Job Actions for My Employees” worklist.
Please note that ECE HR will initiate a request in the JAR system once the funding and student approvals are acquired for the requested appointment.
Salary Distribution Changes (SDCs)
If you only need to change the funding source to a current appointment and nothing else, please reach out to the appropriate fiscal management unit(s) below to initiate a salary distribution change request:
