Unpaid Visitor Request

Unpaid Appointments are for individuals who will receive no payment through the University Payroll System. It includes Unpaid Visitors, Visiting Faculty, Visiting Scholar, Visiting Research Assistants, Visiting Researcher, Visiting Scientist. Visiting Appointments are not true job vacancies.

Visiting faculty from other higher education institutions will generally be appointed at the rank held at their home institution. Other visiting faculty who meet the qualifications for non-tenure track professorial ranks, lecturer, senior lecturer, and librarian may be appointed with these titles. They are visiting NC State from a “home organization” to which they are expected to return. Visiting appointments cannot exceed two (2) years total.

Processing time for these requests currently average roughly 3-4 weeks after (dependent on the type of research being conducted, timeliness of required paperwork and documents from PI’s and the Visitor, and when the request is received (such as during University Holidays or peak hiring times such as Fall/Spring may take longer to process).

If there are any Visa Needs Associated with this appointment, allow an additional up to three (3) or more months for processing time, especially if there are immigration needs. All requests for visiting appointments MUST begin with your assigned HR Representative. To request a Visiting Appointment:

  • Click the following link and complete the form: Unpaid Visitor Request (this needs to be completed by the faculty, not the visitor.)
  • Upload the visitor’s CV/Resume to the form in order to get approval for this appointment.
  • Complete the Visiting Scholar Questionnaire
    • When completing the Visiting Scholar Questionnaire, for the first (3) questions related to Office Administration please put the information for the Human Resources Manager.
      • If you do not put the HR Manager’s information then I will not get the Export Control and the Appointment will be delayed.

  • Once approval has been received from Export Control, you may be asked to also complete a Visiting Scientist Agreement. If this is requested, you will receive an email to complete a Visiting Scientist Agreement that requires the visitor and supervisor’s signature.
  • Once both signatures have been obtained, please email the Visiting Scientist Agreement form to the Human Resources Manager at ece-hr-mgmt@ncsu.edu. The Human Resources Manager will obtain the Department Head’s signature and submit the agreement to obtain the Vice Chancellor for Research Administration’s signature. Once the Human Resources Manager has received all approvals and signatures, she will email you with the next steps on how to proceed.
    • Processing time for these requests currently average roughly 3-4 weeks after (dependent on the type of research being conducted, timeliness of required paperwork and documents from PI’s and the Visitor, and when the request is received (such as during University Holidays or peak hiring times such as Fall/Spring may take longer to process).
      • Allow at least an additional three(3) months for processing time due to various VISA issues depending on where the visitor is coming from, different consulates, obtaining signatures, etc.
  • Your HR Rep will inform Greg Byrd of your request and will let you know if the appointment is approved.

NOTE ABOUT RECENTLY GRADUATED STUDENTS:

Access to G Suite

  • OIT is working to provide a new G Suite alumni domain as well as tools to allow NC State graduates to copy their G Suite account data, if they wish to retain this information.
  • Users who graduated after May 2010 will have ongoing access to their NC State G Suite account until further notice.
  • OIT will provide graduates with access to the new G Suite alumni domain in a phased approach. Graduates with an active NC State Gmail account will be contacted with more information regarding the process to copy their account data to this new domain or elsewhere (e.g., a personal Gmail account). Graduates will have at least one year to complete the data migration.

Access to Other IT Services

  • For one month after graduation, new graduates will have access to:
    • campus-based file space and other services, eduroam and the Virtual Private Network (VPN) service.
  • New graduates will not be able to log in to public workstations in campus computing facilities; e.g., Unity labs.


Access to MyPack Portal
New graduates are allowed to log in to the MyPack Portal Self-Service page to access their student information, but access to other items within the
